Questionnaire for Proceedings Editors

The information you supply will be used to publish your event's proceedings. To avoid errors and possible typesetting surcharges, please provide complete and accurate information. (Unless otherwise noted, all information should be supplied in standard ASCII form.)

Event Name

Please supply the full and complete name of your event (spell out all acronyms). For example, "The Fifteenth National Conference on Artificial Intelligence."

Event Location

Please supply the city in which the event will be held, followed by the state or province, (if applicable) and the country. For example, "San Francisco, California, USA."

Event Dates

Please supply the inclusive dates of the event, in the format day-day month year. (For example, 1-15 August 1999, or 30 June - 2 July 2000)

Editor's Names

Please supply any editor's names. Give their complete first (given) name, their middle name (or initial) followed by their complete surname (family name). Do not abbreviate the first name. For example, "John M. Doe."

Event Acronym

Please supply the event acronym (for example, AAAI-15)

Event Organizers and Committees

Please supply the event organizer's names, affiliations, and any relevant list of committee member names and affiliations (such as a program committee).

Contents / List of Papers

Please supply a complete table of contents. This should include any sections along with the papers that will published in that section. This information should be as complete and accurate as possible. (AAAI Press will proofread the material against the submitted papers.) Please do not supply the event schedule. Note that AAAI Press will alphabetize the sections, and within each section, will alphabetize papers within a section by surnames of authors. We do not publish contents in presentation order.

Event Logo

Please supply, in electronic form, a logo for your event (if one exists). The logo should fit within a four-inch square, and should be rendered, if possible, as a vector-based encapsulated PostScript file (such as is created by Adobe Illustrator.) Less desirable, but acceptable is a bitmapped image file either in native PhotoShop format or uncompressed tiff or high resolution JPEG. Image files must be 300 dpi or larger. GIF files are NOT acceptable.

Preface

Please supply a preface for the proceedings. Include the name(s) of the authors of this preface as well.

Invited Speaker Abstracts (Optional)

If appropriate, please gather together 100-500 word abstracts of the invited speaker's talks for publication in the proceedings.

Event Sponsors (optional)

Please supply a list of event sponsors. (We will not publish logos of the sponsors unless all of them are provided in high-resolution format. An extra fee will apply.)

Back Cover Description

Please supply a 100-500 word description of the event that is suitable for presentation on the back cover of the proceedings. This should not be a simple list of tracks, but should describe, in general terms, the contents, the purpose of the event, and any special or interesting highlights.

Delivery Date

Please give us the last acceptable date for delivery of the proceedings to the event site.

Delivery Instructions

Please provide a complete address for delivery. This information should include a street address for use by the trucking company (a department and university name is NOT sufficient). You must also include the name of a person onsite who will accept delivery (generally a person connected with the convention center, hotel, or university) acceptable delivery hours, and a telephone number for use by the trucking company. Delivery to hotels is acceptable, and generally better than delivery to personal residences.

Contact Person

Please provide the name of the person who will be responsible for coordinating and supplying all of the above information. This person should be available for reading proof, answering questions, and coordinating details. We need this person's name, street address, e-mail address, telephone, and fax number.

Quantity

Estimate the number of books, CDs, flash drives, or other materials that you will need at the conference site. This number (usually based on previous year's attendance, will become binding once the manufacturing order is placed (generally six to eight weeks prior to delivery).

Number of Papers

Estimate the number of papers to be published in the proceedings.

Page Count Limit

Give us the page allowance each author is allowed (for example, no more than six pages.)

Over-Limit Page Charges

If you have decided that authors may exceed the page count limit, let us know the additional pages over the limit you will allow.

Electronic Submissions and Abstracts

Authors should submit abstracts and electronic versions of their papers so that we might place them on our web site. The author letter, which will be posted on our website, will provide step-by-step instructions and details.
